Barclay Public Library Meeting Room

 President Valerie Green called the meeting to order at 7:05 p.m.  Maria, Jean, Jenny, Laura, Rita were present.

There were no remarks from the public.

BILLS:  Motion by Jean and second by Laura to approve payment of the June bills.

TREASURERS REPORT: Filed for Audit

SECRETARY’S MINUTES: Filed for Audit

LIBRARIANS REPORT:

·         Finance

o        The library has received first payments of tax revenue from Macon and Logan Counties as well as Harristown.

o        Letter from the Village regarding the TIF plan was reviewed

o        Used Bookshelves have been purchased by the WL school district

·         Memorials– Reviewed recently received donations, which will be earmarked for book purchases.

·         Digital Books –

o        The Library on The Go (LOTG) consortium voted to add two eReading Rooms, one for kids and one for teens, to the digital database.  There is now a link on the Barclay web page and via Overdrive.

o        The library will continue to offer Zinio and 3M for the next year. 

·         Little Free Libraries – An update on the usage of the Little Free Libraries was given.  They are being used and receiving donations.

·         Barclay Library at The Depot.  The library has established a kiosk, staffed weekly, at The Depot Antiques in Harristown for residences to use.  An article appeared in the Herald & Review regarding this service. 

·         Building Cleaning: The scheduled cleanings for the building have been reduced from twice per week to just once per week to avoid a rate increase

·         Stuffed Animal Sleepover: Kim organized a Stuffed Animal Sleepover last week as part of the summer reading program.  It was well received and the teens helped support the program.

BUSINESS

Ø       Finance

·         Reviewed and Filed the 4th Quarter Financial Report FY13-14

·         Motion by Jenny and second by Jean to approve Tentative Budget & Appropriation Ordinance, No. FY2014-15-3.  Roll call vote; all AYES

·         Rescheduled Budget & Appropriate Hearing for September 15, 2014 at 6:45 p.m.

·         Motion by Laura and second by Jenny to approve Working Budget for FY2014-15Roll call vote: all AYES.

·         Set the date for Internal Audit for September 15 at 5:30 p.m. 

·         Instructed Lacey to contract for a Review of Financial Statements for FY2013-14 with plans to do a full Audit next fiscal year.

Ø       Building

·         Motion by Jean and second by Maria to hire Romer Brothers Tree & Shrub Servicefor removal and stump grinding of 3 bushes in the SW corner of the building at a cost of $210.

·         Instructed Lacey to get additional bids for two AC units with a 17 SEER capacity.

Ø       Personnel

·         Motion by Val and second by Laura to approve the closure of the library during daytime hours on Tuesday, October 14 for the library staff to attend the ILA conference in Springfield, IL.

·         Set the date for Personnel Committee to discuss the wage chart for August 18 at 6:30 p.m. prior to the next board meeting.

Ø       Library Festival Schedule: Motion by Jenny and second by Maria to close the library building on Saturday, September 13, 2014 for the Warrensburg Festival September 13, 2014.  The library will participate in the event with outdoor activities.

Ø       Person of the Month is Pat Cash for her volunteer efforts with the library rose garden.
